Purpose. This procedure explains how road, footpath, drainage and building defects become works orders, how they are prioritised and scheduled, and how crews prepare and close out a job.

1.Sources of work

Works orders arise from customer requests, scheduled condition inspections, the road management plan intervention levels, storm and emergency events, and the capital works program. Every job must exist as a works order in the works and asset maintenance system before a crew is allocated.

2.Inspection and prioritisation

The works supervisor must inspect reported defects within the timeframe set by the road management plan for that road hierarchy. Defects that exceed the intervention level must be scheduled for repair within the response time. Defects below the intervention level will be recorded and monitored.

3.Scheduling

The works supervisor will prepare a fortnightly maintenance schedule that groups jobs by locality and plant requirements. The schedule must be reviewed at the Monday planning meeting and adjusted for weather, plant availability and emergencies.

4.Preparing for works

Before starting, the crew leader must complete the job safety analysis, confirm the traffic management plan, arrange service locations for any excavation, notify affected residents, and confirm that materials and plant are on site. The crew leader must complete the daily pre-start record with all crew members.

5.Closing out

On completion the crew leader must record the work done, materials used, plant hours and photographs in the works order and mark it complete. The works supervisor must close the linked customer request and update the asset record.

6.Emergency works

After-hours calls are received by the on-call supervisor, who must make the site safe first and record the response as an emergency works order the next business day.
